Privacy policy

This policy explains which personal details we collect when you contact us or travel with us, what we use them for, and how long we keep them.

Who we are

Inuit Outfitter ApS, CVR 44685620, Nasiffimmut 32, Postboks 294, 3911 Sisimiut, Greenland, is responsible for the personal details described here. Write to us at inuitoutfitter@gmail.com with any question about them.

What we collect, and why

We collect only what we need to answer you, plan your trip and carry it out safely.

  • When you ask a question or plan a trip: your name, email, phone and country, and what you tell us about the hunt, your party and your dates. We use it to answer you and make you an offer.
  • When you book: the name, address, phone and email of you and those traveling with you. On your own page you give us what the trip requires: a copy of your passport, an emergency contact, and what we need to know for the trip, such as clothing sizes, diet and allergies. After the hunt we ask for the address your trophy is to be sent to. We use it to prepare the hunt and to look after you in the field.
  • When you sign a document: the text you signed, your name, address, phone and email, and when and from where you signed, including your IP address.
  • When we invoice you: your name, your address and what you bought.
  • When you write to us by email: the correspondence about your trip, which we keep together with your booking.
  • When you log in or open a document: the time, your IP address and your browser, in a security log.

Our basis for using them

We use your details to enter into and carry out our agreement with you. Invoices are kept because bookkeeping law requires it. Signed documents and the security log are kept because we have a legitimate interest in being able to document what was agreed, and in protecting your documents. Information about your health, such as allergies, is yours to give or leave out, and we use it only to look after you on the trip.

Who sees your details

We do, and the guides who lead your trip see what they need in the field. We do not sell your details, and we do not use them for marketing. We pass them on only when your trip requires it, for example the address your trophy is shipped to, or when the law requires it.

The companies that run our systems store the details on our behalf: Vercel, Neon and Cloudflare for the website, the database and your files, all in the EU, and Brevo and Google for email. Google may process email outside the EU.

If you write to us on WhatsApp or Instagram, those services handle your message under their own terms.

How we protect them

Your details travel over an encrypted connection and are stored encrypted, both in our database and where your files are kept. Your passport copy and other files are never public. They can only be opened through a link from our own system, and that link stops working after a few minutes.

Email is not protected in the same way, so please send documents through your own page rather than as an email attachment.

How long we keep them

Each of these is deleted automatically when its time is up.

  • Inquiries that do not lead to a booking: 12 months.
  • Your passport copy and other files you upload: 120 days after your trip ends.
  • Emails about your trip: 12 months after your trip ends.
  • The security log: 24 months.
  • Signed documents: 30 years after your trip ends, because a claim after an accident can be raised many years later.

Cookies

We do not use analytics or advertising cookies. The site sets one cookie to remember your cookie choice, and one to keep you logged in on your own page. The map in the footer comes from Google and loads only if you accept it. Films play from YouTube, and nothing is sent to YouTube until you press play.

Your rights

You can ask to see the details we hold about you, to have them corrected or deleted, to have our use of them restricted, to object to it, and to receive them in a form you can take with you. Write to inuitoutfitter@gmail.com, and we answer within a month. Some details we must keep even if you ask us to delete them, such as invoices.

If you are unhappy with how we handle your details, you can complain to the Danish Data Protection Agency, Datatilsynet, at datatilsynet.dk.

Changes

If we change this policy, the new version is published here with a new date.
